BSW Primary and Community Care Training Hub Privacy Notice – November 2025
BSW Primary Care Training Hub (BSW Training Hub) supports the transformation of the primary care workforce through quality training, education and development. The core functions of the Training Hub are:
- Recruitment and retention of primary care workforce
- Ensuring the primary care workforce has access to training
- Co-ordination of education programmes
- Workforce development, through Continuing Professional Development (CPD) and support of new roles
- Workforce planning (future workforce)
- Leadership
- Supporting student placements
The type of personal information we collect
This privacy notice explains why the BSW Training Hub collects information about you and how that information may be used. The BSW Training Hub maintain records about your personal and professional details you willingly provide to us in order to provide and deliver the appropriate training and educational opportunities and student placements. Your records may exist in electronic format, and we deploy many working approaches to ensure that such information is maintained within a confidential and secure environment. As part of the services that we provide, we may store the following information about you:
- Personal details relating to you e.g. your name, email address, area you live in, phone number, role, place of work (practice details) and place of study.
- Professional details you have provided to us via an application / enrolment form e.g., your profession and your professional body member number.
- Equality, Diversity and Inclusion (EDI) data where you have provided to us via an Application Form e.g., your gender or religious belief.
- Individual training log of courses and programmes you have applied for or attended that has been funded or organised by the BSW Training Hub.
- Invoice details, including name, address, contact information and bank account references.
How we get the personal information and why we have it
Most of the personal information we process is provided to us directly by you for one of the following reasons:
- To contact you regarding upcoming courses / events / forums / workshops / meetings, including MS Teams invites.
- To help us to respond to your training and development needs more effectively.
- To support student placements.
- To process transactions – we may use the information provided by you when booking on a course only to provide service to that order. We do not share this information with outside parties except to the extent necessary to provide the service, such as where the course organiser is a third party.
- To send you information you agreed to receive about topics we think will be of interest to you.
- To send periodic surveys for your feedback on courses / events / forums / workshops.
- To send you newsletters.
- To administer and process invoices for coaches / mentors, mentees, event speakers, BSW Training Hub colleagues with portfolio roles, third party training providers and CPD allocations.
We also receive personal information about you indirectly, from third party training course providers who send details to BSW Training Hub to confirm when primary care colleagues have completed a particular course.
Monitoring
We use the information that you have given us in order to facilitate your educational training, developmental and placement needs. Anonymised information could also be used within our organisation for the purposes of monitoring, reporting and auditing of the quality of the services we provide.
Data Security Awareness Training
All BSW Training Hub colleagues are trained in Data Security Awareness and understand they have a legal obligation to keep information about you confidential.
Oversees Transfers
Your information will not be sent outside of the UK where the laws do not protect your privacy to the same extent as the law in the UK. BSW Training Hub will never sell any information about you.
Retention Period
Where you have provided us with your contact details for us to keep in touch, when we contact you periodically, we will check you are still happy for us to hold these details. You can contact us at any time for your details to be removed. Your data will be retained for no longer than is absolutely necessary and in accordance with the Records Management Code of Practice 2023 and our associated Records Retention Schedule.
Sharing your information
The personal information we collect about you will be used by the BSW Training Hub (including via a private BSW Training Hub channel on MS Teams) so that they can assist you. We will never sell or share your personal information with organisations so that they can contact you for any marketing activities.
We may, however, with your consent share your information with our trusted partners and third-party training providers (e.g. Devon Training Hub, Et Al Training, Gloucestershire Primary Care Training Hub, GP Practice Training Ltd, Network for Practices Ltd, One Advanced / BKSB, Red Whale, The Benefits Training Company, The Change Maker Group, Wessex LMC, Wild Monday Resilience Ltd) who work with us or on our behalf to deliver our services. Some information will be shared with NHS England to manage funding of universities places, where this is relevant. It is noted that the above list is not exhaustive, and we may contract with other external organisations to undertake processing of your personal information. These third-party organisations will abide with General Data Protection Regulation principles regarding the protection of personal data.
Legal Basis
We will only use your information when you submit your details to us for the purposes outlined above. Under the UK General Data Protection Regulation (GDPR), the lawful basis we rely on for processing this information is: your implied consent. Your data protection rights
Under data protection law, you have rights including:
- The right to be informed – about the collection and use of your personal data
- The right of access – the right to access personal data and supplementary information
- The right to rectification – the right to have inaccurate personal data rectified, or completed if it is incomplete
- The right to erasure – the right to erasure (to be forgotten) in certain circumstances
- The right to restrict processing – in certain circumstances
- The right to data portability – which allows you to obtain and reuse your personal data for your own purposes across different services
- The right to object to processing in certain circumstances
- Rights in relation to automated decision making and profiling.

Website Usage Policy
This page explains how BSW Training Hub uses any information you give to us, and the way we protect your privacy. Protecting the privacy and personal data of the visitors to our site is of the utmost importance to us.
The Data Protection Act
In accordance with the Data Protection Act, we have a legal duty to protect any information we collect from you. We will only use your information for the purpose as described and we do not pass on your details to any other government department or third party unless you have given us permission to do so. You have a right to access your personal data and rectify any inaccuracies.
Site Usage
We do not use cookies for collecting user information. Log files allow us to record visitor’s use of the site to enable us to enhance the future layout of the site. The data we gather in this way does not contain any personal information or information about which other sites you have visited. If you provide feedback on our website we will only use it to develop and improve the site. We will keep the actual feedback for six months after which it will be deleted but analysis of feedback may be kept.
